This notice explains how personal information is collected and used when you visit AlpacaCloud, create an account or use the AlpacaCloud service.
1. Who we are
AlpacaCloud is a web-based herd management platform for alpaca owners and breeders. For personal information processed for our own purposes in operating the website, accounts, subscriptions and service, the operator of AlpacaCloud acts as the data controller.
Our current business and contact details should be available on the AlpacaCloud website. You can contact us through the published contact details if you have a privacy question or wish to exercise a data-protection right.
2. Information we collect
Depending on how you use AlpacaCloud, we may collect account and contact information such as your name, email address, breeder or farm name and herd prefix; account information such as your role and subscription plan; billing and subscription information; communications and support enquiries; and technical information such as IP address, browser/device information, login and security records and service logs.
When you use the herd-management features, you may also upload or enter animal records, pedigrees, breeding and birth information, animal health and treatment records, body scores, shearing information, ownership and sales records, documents, photographs, notes, tasks and other information you choose to store.
3. Information about other people
Your AlpacaCloud records may contain personal information about other people, for example other owners, breeders, buyers, sellers, contacts or users. When you enter personal information about another person, you are responsible for ensuring that you have an appropriate reason and authority to do so and for providing any privacy information required from you.
4. How we use personal information
We use personal information to create and administer accounts; provide herd-management features; authenticate users and protect accounts; provide customer support; administer plans, subscriptions and billing; send transactional and service communications; maintain, troubleshoot and improve the platform; prevent misuse and fraud; keep appropriate business and security records; and comply with legal obligations.
5. Our lawful bases
Under UK data-protection law, our lawful basis depends on why we use the information. We generally process information where it is necessary to perform our contract with you or take steps at your request before entering a contract; where necessary to comply with a legal obligation; where necessary for our legitimate interests in operating, securing, supporting and improving AlpacaCloud, provided those interests are not overridden by your rights; or, where appropriate, with your consent.
If we rely on consent for a particular activity, you may withdraw that consent at any time. This does not affect processing that was lawful before withdrawal.
6. Animal health information
Health and treatment information entered about an alpaca relates to an animal rather than, by itself, being human health data. However, free-text notes and uploaded documents could contain personal information about people. Users should avoid adding unnecessary personal or sensitive information about individuals to animal records.
7. Payments
If you purchase a paid plan, payment processing may be provided by Stripe or another payment provider identified during checkout. The payment provider processes payment information under its own privacy terms. AlpacaCloud may receive information such as customer and subscription identifiers, payment status, plan, billing dates and limited billing details needed to administer your subscription, but we do not need to store your full payment-card number where payment is handled by the provider.
8. Who we share information with
We may share information with trusted service providers that help us operate AlpacaCloud, such as hosting, infrastructure, email-delivery, payment, security, backup and technical-support providers. We may also disclose information where required by law, to establish or defend legal rights, to protect the security of users or the service, or as part of a genuine business reorganisation or transfer subject to appropriate safeguards.
We do not sell your personal information.
9. International transfers
Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we will use an applicable lawful transfer mechanism or other safeguards required by UK data-protection law.
10. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes described in this notice, including providing an active account, meeting legal, tax or accounting requirements, resolving disputes, preventing fraud and maintaining appropriate security records. Different categories of information may have different retention periods.
If an account is closed, information may remain for a limited period in backups or where retention is required for legal, accounting, security or dispute-resolution purposes. We will delete or anonymise information when it is no longer reasonably required.
11. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration or disclosure. No internet-based service can guarantee absolute security, so users should also protect their passwords and account access.
12. Cookies and similar technologies
AlpacaCloud may use cookies or similar technologies that are necessary for login sessions, security, preferences and operation of the service. If we use non-essential analytics, advertising or similar cookies that require consent, we will provide appropriate information and consent controls.
13. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to request access to your personal information, correction of inaccurate information, deletion, restriction of processing, portability of certain information, or to object to certain processing. Where processing is based on consent, you can withdraw consent. These rights are not absolute and exceptions may apply.
You can contact us through the details published on the AlpacaCloud website to make a request. We may need to verify your identity before completing it.
14. Marketing
Where we send direct electronic marketing, we will do so only where permitted by law. You can opt out of marketing communications at any time using the unsubscribe method provided or by contacting us. Service messages about your account, security or subscription are not marketing and may still be sent where necessary.
15. Children
AlpacaCloud is intended as a herd-management service for breeders, owners and their authorised users and is not designed as a service directed at children. Account owners should consider the age and authority of any person they permit to access their breeder account.
16. Complaints
If you have concerns about how we use your personal information, please contact us first so that we can investigate. You also have the right to complain to the UK Information Commissioner’s Office (ICO), the UK supervisory authority for data protection.
17. Changes to this policy
We may update this Privacy Policy as AlpacaCloud develops or where legal or regulatory requirements change. We will publish the current version here and update the revision date. Where a change materially affects how we use personal information, we will provide additional notice where appropriate.
